College Administrator
Tasks
- Supervising the application of the regulations and regulations of administrative and financial affairs at the university.
- Reporting the commencement of all college employees, and their departure from work
- Supervising and following up the implementation of the administrative work of the units of the Department
- Supervising the good and development of the workflow in the department
- Supervising the speed of securing the college's purchases of urgent requirements
- Supervising the work related to the applications of contractors in the college regarding passports (residence, visas, and travel tickets).
- Supervising the college's facilities with the relevant authorities and developing plans to follow up on their maintenance and cleanliness
- Organizing regular vacations for the college's administrators, technicians, employees, and workers
- Assigning whoever is needed to contact the competent authorities to repair and follow up on emergency malfunctions that occur in the college
- Supervising the distribution of offices in the college and coordinating programs for the use of scientific seminar halls to allow their proper use
- Supervising attendance and absence records for the college's administrative and technical employees
- Follow up the preparation and equipping of classrooms, and supervise their maintenance periodically
- Preparing the annual report and periodic reports of the work of the administration and its affiliated units and submitting it to the Dean of the College
- Supervising the financial affairs and covenant allocated to the administration in accordance with the rules and regulations
- Carrying out the work assigned to him by the Dean
Responsibilities
- Respond to all transactions received from all administrative units of the university in coordination with the relevant authorities.
- Approving and signing the purchase order in accordance with the applicable regulations.
- Sign the examination and receipt notes.
- Permission to disburse from the college warehouse.
- Keeping and following up the records of the covenant of the college.
- Approving the approval of the required guarantees from contractors when traveling.
- Approving identification certificates for college employees in accordance with the system.
- Approving the minutes of receipt and delivery, requesting the disbursement of materials and transferring the custody.
- Approving the vacations of all college employees, including administrators, technicians, and researchers, after the approval of their direct supervisor.
- Sign the clearance for those whose work ends in the college.
- Recommending the assignment of a person required by the interest of work to be assigned to work outside the official working hours according to the statutory principles.
- Signing letters of referral of college employees and workers for medical examination.
- Approving the data on the end of the assignment mission for the college's administrative, technical and research employees.
- Approving correspondence related to government agencies to complete employee procedures.
- Recommending administrative sanctions on the employees of the Department in accordance with the regulations.
- Nominating non-faculty members to attend training courses.
- Coordination with the relevant authorities within the college and the university in the competence and scope of the department's work.
- Issue internal decisions required for the proper functioning of the Department in accordance with the rules and regulations.
- Evaluate the performance of management staff.
- Approving the disbursement from the budget and custody of the administration in accordance with the regulations of the organization.
- Raising the college's needs of human and financial resources and various equipment.
- Follow up the maintenance and installation operations in the college.
Administrative Tasks and Sub-Departments
1- Human Resources Department:
Termination of the procedures and requirements of Saudi faculty members, contractors, administrators and administrators directly upon appointment and after promotion and raising the housing allowance, due allowances, annual and emergency leaves, to exclude it, raise the cut off of leave and end the procedures for terminating service after resignation or retirement Giving scenes to all college employees upon request from any party that he is one of the college employees.
2- Procurement Section:
Coordinates with the departments to determine their need for educational materials and furniture and submit to the competent authority a request to secure it and sequential until the supply is made.
3- Warehouse:
The warehouse keeper is directed to inventory all the contents of the college of furniture and appliances, as well as receiving what is supplied from the warehouse management and suppliers and delivering it with a receipt report to the departments.
4- Communications Section:
Receiving incoming transactions to the college and delivering them to those who belong to it according to the directive, exporting transactions to the authorities, receiving and distributing mail.
5- Photography Department:
It photographs the questions of the subjects and curricula for all departments of the college as well as destroys the answer sheets that the departments have completed.
6- Follow-up Section:
It follows up employees and technicians to control their attendance and discipline, prepares monthly reports, as well as follows up on classrooms, level of cleanliness and arrangement.
